Equipment borrowing guidelines for students

How to get started 

Read these guidelines carefully and in full before booking a studio or any production equipment. If there is something you are unsure about or if you have any questions please speak to your lecturer or an AV Support Officer.

Once you have read the guidelines, completed the online quiz and gained equipment proficiency you should be able to log on to the Loans Portal.

Booking production equipment

It is very important to remember that bookings cannot by made by email or any other method. Only book via the online Loans Portal.

  • Only students enrolled in approved courses may borrow equipment and book studios
  • Students may only borrow equipment to complete assessments and coursework
  • Bookings must be made in advance by logging into the Loans Portal with your zID and zPass
  • Students may not use the Servicedesk, email, voicemail or phone calls to book equipment or studios
  • If you no longer require your booking please cancel it in the loans portal
  • A ‘proficiency’ must be granted by your tutor in-order for you to book equipment or studios
  • On the online Loans Portal, students can only view equipment they have ‘proficiency’ to book. If you can see it, you can book it
  • If you do not attend your training workshop with your tutor you cannot gain ‘proficiency’ and you cannot borrow equipment or book studios
  • Please contact your tutor to resolve any issues with your ‘proficiency’ record
  • The TRC maintains a records database of all students and ‘proficiencies’ for approved courses for each session. TRC staff cannot change your ‘proficiency’ record

Duration of loans

  • Loan slots are: Monday to Wednesday (48 hours), Wednesday to Friday (48 hours) and Friday to Monday (72 hours)
  • Students are only permitted to book equipment for one loan slot per week.
  • Students cannot make consecutive bookings (i.e. you cannot book, Fri to Mon, and then Mon to Wed etc.)
  • Students booking more than one loan slot per week will receive a warning

Picking up equipment

The Equipment Store is open on Monday, Wednesday and Friday between 9.30am - 12.30pm.

  • The Equipment Store is located at room 133 in the Robert Webster Building
  • Arrive on time - no student loans will be issued outside of this time

When you collect equipment from the TRC Equipment Store rm.133, you will need:

  • To have made a booking through the loans portal (adhoc loans will be dealt with last)
  • Your current valid student card
  • A mobile contact number
  • To be enrolled in an approved course
  • To state the name of the equipment you have booked
  • To check the equipment when you pick it up to confirm nothing is missing

When you “sign out” the equipment on the borrowing slip, you are agreeing:

  • To accept financial responsibility for that equipment
  • That nothing is missing from the kit
  • To return all the equipment at the specified date, time and place
  • That you have read and understood the ‘Production Equipment - Borrowing Guidelines’
  • That you will abide by the ‘Production Equipment - Borrowing Guidelines’

Returning equipment

  1. Before you return equipment:
    - Recharge all batteries
    - Pack and tidy the kit
    - Check nothing is missing
    - Complete the checklist for any studios
  2. Return borrowed equipment to the TRC Equipment Store Rm.133 at the date and time you have agreed on your borrowing slip
  3. Do not return equipment to any other rooms or offices
  4. Ensure that the equipment is checked and “signed in” as complete and undamaged by the AV support Officer

Late equipment

  • Equipment is considered ‘late’ if it is returned after 12:30pm on the return date specified on the borrowing slip
  • If equipment is not returned on time, the student will be contacted and receive an immediate first warning. A new time will be advised by the AV Support Officer to return the equipment that same day.
  • Students who return equipment ‘incomplete’’ will receive a warning and will be required to return the missing item(s) within 24hours. If the missing item is still not returned on time - all lending to that student will be suspended. The issue will then be escalated to the Faculty IT and AV Manager.
  • Students who have received two warnings and again return equipment ‘incomplete’ or late will be suspended from borrowing any equipment or booking studios for two weeks.
  • Students must make a police report and inform the AV Support officer immediately, if any equipment is stolen.
  • If you are running late with a return please contact the AV Support Officer on 9385 5103 and leave a voicemail message detailing the late return
  • If you cannot return the equipment yourself, a friend or classmate can do this on your behalf, they will need your student card

Failure to return

  • If equipment is not returned on time, the student will be contacted and receive a warning. A new time will be advised by the AV Support Officer to return the equipment that same day. If the equipment is again not returned at the time - all lending to that student will be suspended. The issue will then be escalated to the Faculty IT and AV Manager.
  • Equipment not returned within five working days of the return date will be considered ‘lost’ or ‘stolen’. Students will be liable for the total replacement cost of ‘lost’ or ‘stolen’ equipment. Students who fail to replace, or reimburse UNSW for ‘lost’ or ‘stolen’ equipment may have their course results withheld.
